How to select a practical AI workflow

The most common mistake when adopting AI is starting with the tool rather than the work. A useful AI agent does not replace a department; it accelerates a specific, valuable workflow where context is currently scattered and legwork is slowing you down.

Why do open ended transformations fail?

Transformations that begin without a defined workflow often devolve into abstract software evaluations. Without a clear boundary, teams struggle to measure success, leading to endless proofs of concept that never reach production. A contained workflow forces clarity on inputs, outputs, and ownership.

What makes a workflow suitable for an agent?

Suitable workflows share three traits: they rely on existing, accessible context; they involve repetitive legwork to structure or draft; and they require a human decision before completion. If a task requires pure creative invention without source material, it is not the right starting point.

Who should own the decision?

The decision owner is the named individual who currently holds responsibility for the work's outcome. The agent routes its completed legwork to this person for final review. The owner must have the authority to approve, amend, or reject the work.

How do we measure the outcome?

Measurement must be tied to the specific friction the agent solves. Success is defined by the reduction in time spent on legwork, the accuracy of the compiled context, and the speed at which the decision owner can confidently approve the final output.

The Workflow Selection Checklist

  • Can we point to the specific documents, emails, or data sources required?
  • Is the task primarily gathering, structuring, or drafting based on that context?
  • Is there a named person who will review and approve the output?

Limitations

This approach is not designed for zero context tasks or open ended creative strategy. It requires existing source material and clear brand rules.
